About the Opportunity

Our client is a well established international financial services organisation with a strong presence in Luxembourg and across Europe.

As part of the continued development of its international activities, the company is looking for an experienced manager to lead a multilingual team responsible for partner servicing, client administration and operational delivery.

This is a broad leadership position combining people management, service quality, operational supervision, process improvement and collaboration with multiple internal departments.

You will play a central role in ensuring that partners and clients receive a reliable, efficient and professional service, while supporting the development and performance of an experienced operational team.

The Role

As Head of Partner & Client Operations, you will take responsibility for a team managing a wide range of administrative and relationship focused activities linked to international financial products and client contracts.

You will work closely with senior management to translate wider business objectives into clear operational priorities.

The role requires someone who can move comfortably between team leadership, partner relationships, operational controls and continuous improvement. You will be expected to remain close enough to daily activities to understand operational challenges, while giving your team the structure, support and autonomy required to perform effectively.

Key Responsibilities

Team Leadership

• Lead, coach and develop a multilingual team of operational professionals.

• Create a collaborative environment based on trust, accountability and open communication.

• Support the onboarding, integration and professional development of team members.

• Set clear priorities and ensure an effective allocation of workload.

• Encourage initiative, ownership and a practical approach to problem solving.

• Promote strong cooperation within the team and across the wider organisation.

Partner and Client Services

• Ensure a high level of service towards external partners and end clients.

• Oversee the handling of administrative requests and ongoing contract related activities.

• Support the resolution of complex or sensitive operational matters.

• Maintain clear and professional communication with internal and external stakeholders.

• Ensure smooth coordination between relationship focused activities and administrative operations.

• Contribute to the continued development of a responsive and client focused service culture.

Operational Oversight

• Supervise the accurate and timely execution of daily operational activities.

• Ensure that internal procedures, service standards and control requirements are consistently followed.

• Organise and monitor the completion of contractual and administrative transactions.

• Perform and validate selected four eyes controls.

• Maintain the accuracy, completeness and reliability of operational data.

• Ensure that risks, errors and outstanding matters are identified, documented and addressed appropriately.

Performance and Quality Management

• Monitor operational performance through relevant KPIs and service indicators.

• Analyse performance gaps and implement corrective actions when required.

• Ensure consistent standards of quality across the team.

• Review working methods and identify opportunities for greater efficiency.

• Establish a structured framework for following up on operational priorities, issues and improvement actions.

Process Improvement and Digitalisation

• Identify opportunities to simplify and improve operational processes.

• Contribute to the standardisation and optimisation of procedures.

• Support the introduction of digital tools designed to improve administrative efficiency.

• Encourage the adoption of solutions that enhance the experience of partners, clients and internal users.

• Participate in wider transformation and continuous improvement initiatives.

Internal Collaboration

• Work closely with senior management and other operational teams.

• Develop productive relationships with commercial, legal, compliance, finance and technology stakeholders.

• Ensure that operational priorities remain aligned with the organisation’s wider objectives.

• Act as a key point of contact for matters affecting the team’s service delivery and performance.

Your Profile

You are an experienced operational manager with a strong background in regulated financial services and a proven ability to lead multilingual teams.

You combine operational discipline with a genuine interest in people development, service quality and continuous improvement.

Essential Experience

• At least 4 years of experience in a comparable management role.

• Proven experience managing and developing an operational, administrative, Middle Office, Back Office or Client Services team.

• Strong knowledge of contract administration and client servicing within a regulated financial services environment.

• Relevant exposure to life insurance, wealth solutions or cross border financial products.

• Experience supervising operational quality, controls, procedures and service delivery.

• Ability to manage both strategic priorities and day to day operational matters.

Education

• Master’s degree or equivalent, preferably in Economics, Management, Finance or a related discipline.

Languages

• Fluent Dutch, French and English are essential, both written and spoken.

• Additional European languages would be considered as an advantage (German, Luxembourgish, Italian, Spanish).
