Company Secretarial Administrator – Consultant | Luxembourg | Global Financial Services Leader

 

  • Location: Luxembourg 
  • Contract: Contract FTC (Starting ASAP until end of February 2026)
  • Rate: €500 - €550 / day 
  • Work Setup: Full time on site for first 3 months / 3 days a week on site thereafter

We're currently working with a leading global bank and asset servicing group, headquartered in the heart of Luxembourg’s financial district, on an exciting opportunity for a Company Secretarial Administrator – Consultant.

What You'll Be Doing:

  • Manage a portfolio of regulated and unregulated entities (UCITS, RAIFs, SIFs, SICARs, SCSp, SARLs, SAs, FCPs, etc.)
  • Ensure timely and accurate statutory filings, corporate documentation, and board meeting administration
  • Draft, review, and maintain legal and governance documents—from articles to service agreements
  • Prepare agendas, attend client board/investor meetings, and produce clear, concise minutes
  • Collaborate with external stakeholders (regulators, notaries, lawyers, embassies) and internal teams
  • Participate in client onboarding, service review meetings, and departmental projects
  • Act as a key player in risk mitigation and quality assurance across your portfolio

 

What You Bring:

  • University degree and solid experience in a Luxembourg corporate secretarial/legal environment
  • Strong understanding of Luxembourg corporate law (1915 Law)
  • Fluent in English; French and/or German is a strong advantage
  • Confident handling complex board meetings and tight timelines
  • Proficiency in MS Office; familiarity with RCS/LBR platforms and tools like Diligent Boardbooks is a plus
  • Great communicator with high attention to detail and a service-driven mindset
  • Ability to work autonomously as well as collaboratively within a growing and supportive team
