Transaction Management Administrator PE/RE



Purpose:


This role holds accountability for maintaining high-quality service through day-to-day oversight within the PCS Transfer Management team. The individual ensures superior service, promptly resolves issues, and escalates when necessary. The focus is on providing an exceptional experience for all clients.
The incumbent, positioned within the Production Assurance team, is responsible for overseeing tasks smart sourced to KL, ensuring optimal client delivery, and strict risk management. They manage work allocation, training, and vacation approvals within the team. Additionally, the role involves participation in weekly reviews, overseeing daily operations, and acting as an expert in oversight mandates.

Primary Responsibilities:


• Monitor TM activities delivered by KL to ensure compliance with SLA, client procedures, depositary, and compliance regulations.
• Conduct daily business checklist reviews.
• Act as a backup supervisor when needed.
• Propose improvements and share ideas.
• Monitor daily dashboards related to investments and invoices.
• Monitor cash monitoring and breaks.
• Oversee Annual Ownership Verification.
• Monitor internal audits (ISAE3402) and client audits.
• Coordinate fund events and set-ups.
• Manage and respond to client queries.
• Act as a key internal point of contact for TM and cash activities related to PCS.
Team Management and Development:
• Allocate work within the Production Assurance Team.
• Conduct required training for new joiners and refresher training for the team.
• Approve the first level of vacations within the team.
• Organize, motivate, and challenge the Production Assurance Team.
• Act as an expert in the Oversight mandate.
Communication and Coordination:
• Participate in client meetings, onboarding processes, and due diligence.
• Participate in various projects (system reviews, enhancement requests).
• Ensure adherence to controls by the PCS Production Assurance Team.
• Mandatory participation in weekly calls (Issue Log review).
• Support the team supervisor in ensuring team efficiency.
• Ensure proper communication with clients, business line, and internal departments.
• Ensure efficient operational service to clients with adherence to internal processes.

Experience and Skills:


Must-Have:
• University or post-graduate degree in Accounting, Finance, or Law with 4 to 6 years of experience in Fund Administration Operations.
• Working knowledge of the funds industry, fund documentation, and transaction processing.
• Knowledge of systems used in the funds industry.
• Fluent in English and French; German and Italian language skills considered an asset.
• Good organizational skills and effective communication with various stakeholders.

• Knowledge of FX settlement (Spot, Forward).
• Knowledge of cash investigation.
• Settlement of listed (optional).
• Reconciliation of Nostro.
