Client Representative - Fund Administration



Purpose:


The Client Representative in Fund Administration serves as the primary contact for clients, ensuring the timely and accurate delivery of support for all fund administration requests and project execution. The incumbent plays a crucial role in maintaining high-quality service delivery, overseeing fee-related requests, and supporting continuous improvement initiatives.

Primary Responsibilities:


• Act as the main contact for fee-related requests from clients representing onshore and offshore funds in Luxembourg.
• Monitor and ensure high-quality service delivery using the Fee Management Application.
• Verify and monitor Fee setup in the Fund accounting system compared to the Fee Management Application.
• Oversee and review the invoice payment process carried out by Fund Administration in Malaysia.
• Serve as the direct contact for fund administration fee requests from dedicated clients.
• Ensure accuracy, timeliness, and completeness of all fund administration-related client requests.
• Accountable for client satisfaction by ensuring deliverables meet client needs and expectations.
• Support the establishment of a continuous improvement environment, assessing workflows, processes, and procedures.
• Document, archive, and regularly update client information such as prospectuses and fee agreements.
• Identify opportunities to enhance service and value proposition for clients.
• Stay current with external factors influencing the business environment.
• Provide support to the Purple layer according to Service Level Agreements (SLA).
• Coordinate audits related to Fund Administration topics.

Experience:


• Post-secondary education with a concentration in accounting, finance, or business, or equivalent experience.
• 6-10 years of experience in the financial services industry, particularly in an operations environment.
• Strong interpersonal and networking skills with a proven track record of dealing with clients, management, colleagues, and staff.
• Excellent communication, presentation, and negotiation skills.
• Demonstrated innovation and change management orientation.
• Good business acumen and profit orientation.
• Focus on risk management and mitigation.
• Proven organizational and time management skills.
• Track record of developing and implementing innovations and changes.
• Language proficiency: Fluent in English, French is beneficial; German or Italian language skills are advantageous.
